Position Name: Admin Assistant (executive assistant, healthcare admin support, concierge coordination)
Location: Santa Monica, CA & Calabasas, CA (onsite, not remote)
Employment Type: Direct-Hire & Permanent
Setting: Private Practice / Startup Concierge Healthcare
Pay: Competitive; based on experience
Shift: Full-Time | Mon-Fri | 8am-5pm
- 2+ years of administrative, operations, or coordination experience.
- Strong organizational skills with the ability to manage multiple priorities simultaneously.
- Comfortable working in a fast-paced, evolving (startup-style) environment.
- Excellent communication skills (written and verbal).
- Experience in healthcare, concierge services, or high-touch client/patient environments.
- Exposure to supporting executives or physicians.
- Basic understanding of patient care workflows or medical environments.
- Must be flexible and work extra hours if needed to ensure the best patient care for our patients.
- Required vaccinations: Flu, Tdap, and possibly COVID.
- Manage and triage high-volume emails, ensuring timely follow-ups and organization.
- Track tasks, priorities, and ongoing initiatives for the physician.
- Coordinate scheduling and logistics across clinical and operational activities.
- Support concierge patient communication, including calls, messages, and follow-ups.
- Help coordinate and direct tasks across the team to ensure smooth day-to-day workflow.
- Assist with travel coordination (e.g., booking accommodations, organizing itineraries).
- Support both administrative and patient-related coordination in a high-volume, fast-paced environment.
